🚨 Reminder: ICS2 Declaration Requirement Coming Soon🚨

Dear Clients and Partners, 👋

As your trusted ClimateCarer partner, we want to remind you about the upcoming EU ICS2 regulation, effective December 4, 2024. To avoid delays in your recent shipments, please ensure your EORI number + VAT details are shared with suppliers promptly.

🔑 Why This Matters for You:
– Without a valid EORI (EU Import/Export Registration Number), shipments may face customs holds.
– ClimateCarer is here to help—just reach out if you need support with documentation or compliance.

The EORI (Economic Operators Registration and Identification) number is required for import/export registration and must be obtained through your customs agent. It is essential for customs declaration and clearance in all EU member states.

⚠️ Don’t overlook this! Missing the EORI number may result in shipment cuts and delays, potentially affecting your delivery timelines and causing unnecessary financial setbacks.

🔹 Act Now:
✅ Confirm your EORI (issued by your tax agent) is up to date.
✅ Share it with your supply chain team to prevent last-minute disruptions.

At ClimateCarer, we specialize in providing high-quality ventilation accessories, insulation accessories, and air conditioning accessories that enhance the performance of your HVAC systems and promote a healthier, more comfortable indoor environment. Let’s work together to keep your shipments moving smoothly!🌍📦

In practice

The rule that catches people out is the timing, not the paperwork. The data has to be with the carrier before the goods reach the first EU entry point, which means the commercial information has to be correct and complete well before the container is loaded. A declaration made from a late or a half-filled shipping instruction is the one that holds a shipment at the terminal.

For a buyer in the EU, the practical consequence is about when information moves rather than what it looks like. Sending the shipping details with the order — consignor, consignee, weight, number of packages and the HS code — gives everyone the same data to work from. Our side of it is to pack to the carton count and the gross weight that appear on the invoice, so nothing has to be reconciled later.

Common questions

What is the ICS2 declaration for?
It is the EU import control system that requires the carrier to send cargo security data before the goods reach the first EU port or terminal, so customs can assess risk before the shipment is loaded for the final leg. It replaces the older ENS filing for the modes it covers.
Who has to file it — the shipper or the carrier?
The carrier files, but the data comes from the consignor and the shipper. Our role is to make sure the commercial data you give us for an invoice is the same data that ends up on the declaration, so there is nothing to reconcile at the border.
Does it change what I send ClimateCarer?
It does not change the packing list or the invoice you send us. It changes the timing: your forwarder needs the data earlier than before, so send the shipping details when the order is confirmed rather than when the container is loaded.
